How to Use Lens Quote

The goal is simple: show patients the true cost of purchasing through your clinic before they leave and begin comparing prices elsewhere.


Why Use Lens Quotes?

Patients often assume purchasing contact lenses online will automatically be less expensive. Once manufacturer rebates and multi-box discounts are considered, that usually isn't the case.

A Lens Quote lets you have that conversation while the patient is still in your clinic and clearly demonstrate:

  • Their actual pricing
  • The value of purchasing a larger supply
  • Available manufacturer rebates
  • Their estimated cost after insurance
  • How your pricing compares with online competitors

Step 1: Start a Lens Quote

  1. Click Lens Quote in the top-right corner of Otto.
  2. Search for and select the patient, or add them if they're not already in Otto.
  3. Search for the contact lens product and select it.
  4. If needed, select different products for each eye.

Step 2: Apply the Rebate

  • Otto will automatically display the applicable rebate based on the product and supply being quoted.

  • Otto defaults to the Existing Wearer rebate. If the patient qualifies for a New Wearer or specialty rebate, select the appropriate option to apply it to the quote.

Step 3: Add Discounts or Insurance (optional)

You can further customize the quote by adding:

  • Discount: Apply an additional one time discount, either as a dollar-value or percentage discount.
  • Insurance: Enter the patient's available insurance coverage to show their estimated final out-of-pocket cost. This helps patients understand what they'll actually pay—not simply the initial per-box price.

Step 4: Add Competitor Pricing – Premium Feature

Otto Premium clinics can select Show Competitor Price box to include online competitor pricing directly on the Lens Quote.

Otto compares your pricing against:

  • Clearly.ca in Canada
  • 1-800 Contacts in the US

Competitor pricing is updated regularly and allows the patient to see how your clinic's pricing compares once available rebates and savings are considered.

Step 5: Generate the Quote

Once everything looks correct, click Generate Quote.

A new tab will open with a professional quote showing:

  • Pricing at each supply level
  • Multi-box savings
  • Manufacturer rebates
  • Insurance, when entered
  • Estimated patient cost
  • Competitor pricing, when selected

You can print the quote or show it digitally while reviewing the options with your patient.


Lens Quote Sales Message

You can manually add a custom sales message to the bottom of your lens quotes, noting anything that you want the patient to be aware of when looking at the quote. 

Such as: 

  • Your shipping policy
  • Thanking them for being a patient/ supporting small business 
  • Highlight a promotion (Example: get $X off Plano sunglasses when you buy an annual supply of contact lenses)
  • Your return policy 

Or you can create a default sales message that automatically appears on every Lens Quote. To set that up, go to: Settings > Business Information > Sales Message

Use this space to reinforce the value of purchasing from your clinic, highlight free shipping, promote a current offer, or simply thank patients for supporting your practice.

Whether they're purchasing immediately or going home with trials, the goal is for them to leave knowing exactly what your clinic can offer.

Pair Your Lens Quote With an Order Link

If the patient isn't purchasing immediately—especially if they're leaving with trials—follow up with an Order Link.

From the Lens Quote screen, click Send Order Link at the bottom of the page. The information from the quote will automatically populate into the Order Link, saving your team from entering everything again.

Think of the two tools as:

  • Lens Quote = In-office pricing conversation

  • Order Link = Convenient digital purchasing

Together, they give the patient the information they need to make a decision and an easy way to purchase when they're ready.


Pro Tips

  • Use supply-level pricing to demonstrate the value of larger purchases.
  • Review the quote with the patient rather than simply handing it to them. Ensuring they are aware of your pricing before leaving the office.
  • Follow up with an Order Link when the patient isn't purchasing immediately to give them a convenient way to order.
  • If they're leaving with trials, let them know before they leave that you'll be sending them a convenient link to order.
