How to Configure Shipping Fees

Otto allows you to create Shipping Rules that automatically apply shipping fees based on what a patient purchases.

 

Otto's Shipping Rules allow you to control when shipping fees are applied based on a variety of factors, including:

  • Product category
  • Supplier
  • Quantity purchased
  • Supply duration
  • & more

Understanding Shipping Fees

Shipping fees are charged by the supplier or distributor fulfilling the order—not by Otto.

Shipping Rules allow you to pass those costs on to the patient when applicable, so your clinic doesn't have to absorb the supplier's shipping fee.

Many suppliers offer free shipping once certain order or supply requirements are met, such as purchasing an annual supply. Your rules can be configured so patients are only charged shipping when their order doesn't meet those requirements.

If you're unsure what shipping fees or thresholds your supplier uses, contact the supplier directly to confirm. Once you know their policy, the Otto team is happy to help you configure your Shipping Rules accordingly if you need a hand. 

Below, we'll walk through some of the most common shipping rule configurations.


 Create or Edit a Shipping Rule

  1. Go to Settings > Shipping
  2. To update an existing rule, click the rule you'd like to edit. To create a new one, click Add New Rule.
  3. Enter a Rule Name that clearly describes when the fee applies.
  4. Enter the applicable shipping fee.
  5. Turn on Charge Tax on Shipping if tax should be applied to the shipping fee.
  6. Turn on the Include Office Shipments option if you also want the shipping fee to apply when patients have their orders shipped to your clinic.
  7. Set the conditions that determine when the shipping fee applies- see below scenarios for specifics.
  8. Click Add Condition to add additional criteria as needed.
  9. Save your rule.

Scenario 1: Charge Shipping on Less Than an Annual Supply

Use this rule if you want to charge shipping on contact lens orders below an annual supply.

Configure the conditions as:

  • If: Product Category → Equal To → Contact Lenses

  • And: Supply Duration → Less Than → 48 Weeks

This means the shipping fee will apply when the patient purchases less than a 48-week supply. Use 48 weeks instead of 52 so bi-weekly and weekly lenses are included.


Scenario 2: Charge Shipping on 6 Month Supply of Dailies/Biweeklies or an Annual Supply of Monthlies

Use this rule if you want to charge shipping on orders below approximately a 6-month supply of daily lenses or an annual supply of monthly lenses.

Configure the conditions as:

  • If: Product Category → Equal To → Contact Lenses

  • And: Quantity → Less Than → 4

  • And: Supply Duration → Less Than → 48 Weeks

Using both quantity and supply duration gives you more control over which orders are charged shipping.


Configure Shipping by Supplier

You can also base your shipping fee on the supplier fulfilling the order rather than the product category.

Simply change the first condition to:

If: Supplier → Equal To → [Supplier Name]

Then add your desired quantity and/or supply duration conditions.
