How to Create and Manage Promotions

Learn how to create limited-time or ongoing promotions in Otto, apply them to specific products, and track performance. Use this for store-wide sales, category discounts, or seasonal offers.

 

Step-by-Step Instructions

Create a New Promotion

  1. Click Promotions in the left-hand sidebar.

    • This tab combines both rebates and promotions.

  2. Click the Promotions sub-tab at the top of the page.

  3. Click New Promotion in the top right corner.

  4. Select the products you want the promotion to apply to:

    • Filter by Category

    • Filter by Modality

    • Filter by Design

    • Or manually select individual products

  5. Set the minimum quantity required for the promotion (if applicable).

    • Example: 4 boxes minimum.

  6. Choose the discount type:

    • Percentage discount (e.g., 10% off)

    • Dollar amount discount (e.g., $20 off)

  7. Enter a clear Promotion Name.

    • This helps you identify it later (e.g., “Spring Sale 2026”).

  8. (Optional) Set a Start Date and End Date:

    • If left blank, the promotion will run indefinitely.

    • If dates are set, the promotion will automatically activate and deactivate based on those dates.

  9. Click Save.


Activate or Deactivate a Promotion

  1. Go to Promotions in the left-hand sidebar.

  2. Locate the promotion in your list.

  3. Use the toggle switch to activate or deactivate it instantly.


How Promotions Appear to Patients

  • Discounts are automatically reflected in the per-box pricing breakdown on your webstore.

  • The adjusted pricing is clearly displayed during checkout.

  • No manual application is required.

To increase visibility:

  • Add a Promotional Banner to your webstore describing the offer.

  • Navigate to the provided link within the Promotions page to set this up.


View Promotion Redemptions

To track performance:

  1. Go to Promotions.

  2. Open the specific promotion.

  3. View the redemption log to see:

    • Which orders used the promotion

    • Redemption dates

    • Performance over time

This helps you measure effectiveness and follow up if needed.


Important Notes

  • Promotions are different from:

    • Manufacturer Rebates (automatically detected and managed separately)

    • Product-Level Volume Discounts (configured inside the Products module)

  • Promotions can be reused:

    • Simply update the start and end dates for recurring sales.

  • If multiple discounts apply, ensure you review how pricing appears in your store before launching publicly.

  • Promotions only apply to the products and conditions you define.

  • If a promotion is not displaying correctly on your webstore

  • If discounts appear incorrect at checkout

  • If you need help configuring complex eligibility rules
