Understanding the Reports tab in Otto

The Reports tab gives you a detailed view of your clinic’s sales, payments, purchases, and—when using Stripe—bank deposits.

There are three main reporting tabs: Sales, Transactions, and Purchases.

Sales

The Sales tab shows transactions processed through Otto.

You can adjust the date range and location filters to review a specific reporting period. The totals displayed will update based on the filters you select.

Information includes:

  • Subtotal and total sales
  • Discounts and promotions
  • Rebates
  • Insurance
  • Shipping
  • Taxes
  • Refunds
  • Prescribing doctor, when added
  • Location

You can also export the report to CSV or Excel for further analysis.

Stripe users: The Sales report also includes credit card fees, net deposit amounts, and deposit dates.

Tip: If you don't see the sales you're expecting, check the date range first. Reports may open using your previously selected reporting period.


Transactions

1. Stripe Users

  • The Transactions tab helps you reconcile Otto payments with the deposits reaching your bank account.

  • Use the date filters to find a specific payout.

  • Each row represents a deposit. Click the magnifying glass beside a deposit to see the individual patient transactions included in that payout.

  • If several patients purchased within the same payout period, you'll see each applicable transaction listed within the deposit breakdown.

  • You can also export this information for your records.


2. Global Payments Users

  • Detailed payout and transaction-fee information is not displayed within Otto for Global Payments users.

  • Log into the OpenEdge Portal to review your full deposit and fee details.


Purchases

The Purchases tab provides a record of all entered orders, regardless of how the patient paid.

This includes orders where payment was processed through Otto as well as orders using another payment method.

Information includes:

  • Subtotal
  • Shipping and handling
  • Tax
  • Total sale amount
  • Refunds
  • Patient receipt

This is useful when you want a broader picture of the orders entered through Otto rather than specifically reviewing payment transactions.


Need a Full Export of Your Orders?

For a more detailed order-level export, go to the Order Log instead of Reports.

  1. Go to Orders.
  2. Change the status filter to All.
  3. Adjust any other applicable filters.
  4. Click Export.
  5. Choose your export type.
    1. Orders Only: Provides one row per order, summarizing the details.

    2. Orders + Order Lines: Provides one row per product within an order, showing the individual products ordered.

Your export may also contain historical orders included through a data migration. The Source field can help you distinguish between uploaded historical data and orders entered through Otto.
